To offer you advanced features such as assisted appointment creation, intelligent note organization, and task management, our Suite can use, upon your activation, generative Artificial Intelligence services provided by OpenAI via a secure API connection.
This guide explains in simple terms how AI features work and what measures we take to protect your data.
1. Your data does NOT train the AI
Unlike the public versions of some AI services available online, content processed using the Suite's AI capabilities is not used by OpenAI to train or improve AI models, per the terms applicable to the API services used.
The information is processed exclusively to provide the requested service and for the time strictly necessary for processing, in compliance with the technically necessary retention periods established by the service provider and the applicable security measures.

2. A secure connection
When you use the Suite's AI features, data is transmitted via encrypted connections protected according to industry-standard security standards (e.g., TLS protocol).

3. You're always the one who decides (Human-in-the-loop)
Artificial Intelligence plays an exclusively supporting role.
System-generated suggestions—such as creating an appointment, note, or task—are not applied automatically: each action always requires your explicit confirmation.
You can at any time:
ignore a suggestion;
modify it;
delete it before saving.
The system does not make autonomous decisions with legal effects or significantly affecting the user.
Because Artificial Intelligence systems may occasionally produce inaccurate, incomplete, or incorrect results, we recommend that you always verify content, dates, times, and automatically generated information before final confirmation.
4. What we ask you NOT to include
AI capabilities are designed to support personal or work-related organizational and productive activities.
We ask you not to enter:
particularly sensitive health data;
judicial information;
confidential banking or financial data;
passwords, PINs, access codes, or other security data.
We also recommend that you only enter the information strictly necessary to obtain the requested service.
For greater protection, the system may automatically limit or block content deemed particularly sensitive.
The AI features are for organizational and informational purposes only and do not constitute professional, legal, medical, financial, or other specialized advice.
5. Where is the data located?
Processing takes place on secure servers, protected by strict legal agreements between us and OpenAI, in compliance with European data protection laws (GDPR).

Is the information I enter used to train the AI?
